Job Title: Office Manager ~ Team Leader
Reports To: CEO

Demonstrates proficient organizational and priority-setting skills needed for performance of job to ensure work is completed thoroughly, accurately and in a timely manner. Performs a variety of tasks and works under general supervision. Possess good communication skills, maintain good mental and physical health.
Position:
The Office Manager is responsible for supervising the daily activities of ALL office personnel, as well as billing for all clients. The following list is not intended to be all-inclusive and the agency has the right to add, delete, amend, or modify the duties of this position.
Primary Duties:
- Follow agency policy and procedure manual. Assure highest quality of care for every client.
- Clearly identify RESPONSIBILITIES of all employees and hold them ACCOUNTABLE.
- Take all referrals/inquires according to policy, being assertive with each inquiry.
- Hold daily meetings with the main office staff to update daily goals and ensure follow-throughs are being handled appropriately and in a timely manner.
- Manage all activities of the program as set up by the CEO.
- Assure smooth and responsible flow of information throughout the office.
- Maintain record systems to satisfy appropriate regulatory agencies and to provide an information base for effective decision-making.
- Audit office according to agency tools, collaborate with the QA Team.
- Manage all office personnel be ensuring all job duties are completed. Review each day for completion the weekly task planner with all office personnel.
- Contact the satellite offices upon opening and closing to obtain daily goals and get a report.
- Ensure all weekly reports are given to the CEO and administrator on designated date.
- Prepare monthly office schedules for each location. Assure appropriate staff supervision during all office hours for each location.
- Prepare monthly on-call schedule and fax to the answering service.
- Coordinate monthly inservices for new employees as well as inservice topics decided by RN for all locations. Days and times will be communicated to Personnel Coordinator for follow through.
Secondary Duties:
- Participate in team meetings
- Make recommendations for recruiting, hiring, training, supervising, counseling, and firing of all staff.
- Review policy manual quarterly, ensuring administrative policies are current with the both agencies.
- Review accounts receivable reports, actively collecting on all past accounts.
- Assist in scheduling all cases with the appropriate staff when needed.
- Communicates both verbally and in writing with superiors, physicians, field staff, and office personnel.
- Set monthly activities for office staff for community involvement. Follow the agency policy and procedure manual.
- Ensure supply list is completed according to the policy.
- Assure office is maintained and properly cleaned.
- Fax all required reports to the appropriate locations in a timely manner.
- Perform other related duties as requested.
- Organize and prioritize tasks and responsibilities.
- Organize, participate in and promote extra agency activities in the surrounding community.
- Maintain professionalism in all situations and ensure professionalism of staff.
- Promptly notify DON or Administrator when personnel do not comply with Agency standards and other difficulties encountered.
Knowledge and Abilities:
- Thorough knowledge of home health care.
- Thorough knowledge of all local, state, and federal regulations impacting the delivery of services.
- Ability to network with other industry professionals on a state and national level.
- Ability to plan, organizes, direct, and controls all program activities.
- Ability to build meaningful relationships with all staff, and other health providers.
- Knowledge of family and group dynamics.
- Ability to coordinate individuals into a smooth and healthy functioning team.
- Ability to teach home care as required.
- Human Resources: assuring staff accountability with assigned duties, lack of staff turnover, timely evaluations, counseling techniques and procedures.
Requirements
- Have a valid driver’s license.
- Clear criminal record of theft and violence.
- High school diploma or equivalent.
- Be current on CPR and TB.
- Maintain good mental physical health.
- Be a US citizen or have a work permit.
- Possess excellent communication skills.
- Manual dexterity skills to include repetitive use of hands, digital responses, and grasping.
- Able to read, speak and write English fluently in all aspects required to fulfill job functions.
- Able to stand, bend, lift up to 35 lbs, walk, and sit in periods intermittently.
- Move equipment and supplies necessary for job functions.
- Repetitive bending and reaching in periods of up to two (2) hours at a time.
- Average vision and hearing.
- Have a reliable, working vehicle with current auto insurance.
